  1. Make sure you have the latest payroll tax table.
  2. The reprinted W2 form must contain the REISSUED STATEMENT.
  3. The reprinted W2 form should have a copy of W2 instructions attached to it.

Steps to print W2 of the current year

  1. In QuickBooks, select Taxes and then Payroll Tax.
  2. Click Fillings and choose anyone from employer or employee copies.
  3. Click View of any of the following:
  • Employer Copies: Form W-2 (W-2, Copies A & D)
  • Transmittal of Wage and Tax Statements (W-3)
  • Employee Copies: Form W-2 (W-2, Copies B, C & 2)
  1. Select Yes or No to the prompted message and go back to the W2 or W3 form.
  2. Scroll the dropdown and choose the appropriate filling period.
  3. Click View to open the Adobe Reader in a new window and then click the Print icon.

Steps to print previous year W2 form

  1. Choose Taxes and then Payroll tax.
  2. Click Fillings and then Annual Forms.
  3. Scroll the Select the period dropdown menu and choose the year you need.
  4. Select one from the following:
  • Employer Copies: Form W-2 (W-2, Copies A & D)
  • Transmittal of Wage and Tax Statements (W-3)
  • Employee Copies: Form W-2 (W-2, Copies B, C & 2)
  1. Next, click View to open Adobe Reader in a new window.


  1. Open QuickBooks, choose Employees, and then Payroll Center.
  2. Go to the File Forms tab and click View/Print Forms & W2s.
  3. Enter the correct payroll PIN and click OK.
  4. Click the W2, select the year, and then all or selected employees.
  5. Click Open/Save Selected and choose an appropriate reason for printing the W2.
  6. Click File on Adobe Reader and then Print.
